Privacy Policy

NetWise Hosting LLC ("NetWise", "we", "us", or "our") is committed to protecting the privacy of our customers and the visitors who interact with the websites we host. This policy explains what information we collect, how we use it, who we share it with, and the choices you have. It applies to netwiseaibiz.com and any service we operate, including the dashboard, AI assistant, and customer support channels.

1. Information we collect

We collect three categories of data:

• Account data — name, business name, email, phone, and billing address provided when you sign up.
• Service data — domain registrations, DNS records, files you upload, and AI training prompts you create.
• Usage data — IP addresses, browser type, device, pages visited, and aggregate AI conversation metrics.

2. How we use your information

We use the data above to operate your services, process payments, send transactional email (receipts, security alerts, downtime notices), provide customer support, and improve our products. We do not sell your personal information, ever.

3. AI assistant & OpenAI API

Our AI assistant feature sends customer messages to OpenAI's API to generate responses. OpenAI processes this data as a sub-processor under its API data processing terms and does not use it to train its models. Transcripts are stored in our database for 30 days so you can review them in the dashboard, then permanently deleted. You can request immediate deletion of any transcript at any time.

4. Cookies & analytics

We use strictly-necessary cookies for sign-in and CSRF protection, and a single first-party analytics cookie (Plausible) which collects no personal data and respects Do Not Track. We do not use advertising or cross-site tracking cookies.

5. Data sharing

We share data only with sub-processors required to deliver the service: Stripe (payments), AWS (hosting), Postmark (transactional email), OpenAI (AI responses), and Plausible (analytics). Each is contractually bound to confidentiality and data protection. We disclose data to law enforcement only when compelled by valid legal process.

6. Your rights (GDPR & CCPA)

You may request a copy of the personal data we hold about you, correct inaccuracies, ask us to delete your data, or object to certain processing. California residents have additional rights under CCPA, including the right to know what categories of data we collect. To exercise any of these rights, email privacy@netwiseaibiz.com.

7. Data retention

We keep account data for the lifetime of your account plus 7 years for tax and accounting compliance. AI transcripts: 30 days. Server logs: 90 days. Backups: 30 days rolling.

8. Security

All data is encrypted in transit (TLS 1.3) and at rest (AES-256). Passwords are hashed with bcrypt. We run quarterly third-party penetration tests and follow SOC 2 Type II controls. Despite our best efforts, no system is perfectly secure — please use a strong, unique password and enable two-factor authentication.

9. International transfers

We are based in the United States. If you access our services from outside the U.S., your data will be transferred to and processed in the U.S. under Standard Contractual Clauses where applicable.

10. Children

Our services are not directed to children under 16. We do not knowingly collect personal information from children. If you believe a child has provided us data, email us and we will delete it.

11. Changes to this policy

We may update this policy. Material changes will be emailed to account holders at least 14 days before they take effect, and the "Last updated" date above will change.
